A: Creating a Letter using Sentence and Paragraph Templates

 

This type of letter building is useful when the content of a letter depends on multiple, patient-specific variables.

 

  • 1. Click the Correspondence icon  in the ICE Dental Menu bar.
  • 2. Click Create Letter in the Correspondence tab.

  • 3. An ICE Letters Editor window will open. Click to choose a Provider and a Discipline and then click OK.

  • 4. In the Build tab of the Letters Editor, click to choose (and expand) one of the Categories.

  • 5. Click to choose a paragraph heading from the expanded Category list. Sentences from the chosen paragraph will be listed in the Items column and images will be listed in the Image Items column.
  • 6. To add one of the sentences to the letter, click the checkmark beside the sentence under the Items column. To add the entire paragraph, click ALL under the Items column. Check marked items will be added to the Structure column.
  • 7. You may be prompted to insert your own text. Click Insert Text and type the sentence(s) in the Edit Text dialog box. Click OK.

  • 8. You may be prompted to choose an option from a list. Click to expand the list and then click to choose an item from the list. The chosen item will be added to the Structure column.

  • 9. To add an image, click the checkmark beside an image under the Image Items column. Check marked images will be added to the Structure column.
  • 10. To change the image, click Change below the image, and then click to choose a new image from the Images dialog box. Click Close.

  • 11. In the Structure column, change the order of paragraphs within the letter by dragging the move icon  beside the paragraph heading to a new location. The order of the sub-sections of a paragraph also can be changed by dragging the move icon to a different position within the paragraph.

  • 12. Click the Preview tab to view and edit your letter.  Click to type any final changes.  (Please note that if you switch back to the Build tab, you will lose any of the final changes made in the Preview tab and an alert box will ask you to confirm that you would like to return to the Build tab.)

  • 13. To choose another audience for the letter, click to choose from the Edit Which Version list at the bottom of the Letter Editor.

  • 14. To create a PDF file of the letter, click Create Letter(s).
  • 15. In the Generate PDFs dialog box, click to select the letter versions and click to type file names in the text boxes. Click a Letterhead Option and then click OK.

  • 16. In the PDFs Saved dialog box, click to view a PDF.

  • 17. From the PDF viewer, you can click to print the letter or close.
  • 18.  The letters will now be listed in the patient’s files in the Correspondence tab (beside a Letter icon ).

  • 19. Select the PV (Visible to Patient) checkbox to make the letter available to the patient from the patient’s account.
  • 20. To view a letter, click View under the title. The letter will open up in a new browser tab.
  • 21. To download a letter to your computer, click Download under the title.
  • 22. To rename a letter, click Rename under the title. Type a new name in the Rename dialog box and then click OK.
  • 23. To delete a letter, click Delete under the title. Click Yes to confirm that you would like to delete the letter.

 



 

B: Creating a Letter using a Form Letter Template

 

  • 1. Click the Correspondence icon in the ICE Dental Menu bar.
  • 2. Click Create Letter in the Correspondence tab.
  • 3. An ICE Letters Editor window will open. Click to choose a Provider and a Discipline and then click OK.

  • 4. In the Build tab of the Letters Editor, click to choose (and expand) a Form Letter Category.
